Outsourcing of Accounting

The core business of ATF Partners is providing accounting services to our Clients from the very beginning of our company’s operation. WE have more than 18 years of experience on the Polish market, a team of 70 professionals in Warsaw and Poznań and more than 250 regular clients.

We offer bookkeeping in various forms. We provide services both in our offices near Poznań and in Warsaw, as well as at our clients’ offices. We build external teams, delegating our employees to the client’s headquarters, as well as managing their financial and accounting departments. We work with most of the financial and accounting systems available on the market, including but not limited to SAP, SAGE SYMFONIA, CDN, CDN XL and STREAMSOFT. In our work we employ state-of-the-art processes and use top-level technological solutions. By outsourcing the accounting function, our clients can focus on their core business, instead of problems related to finance, data recording or tax settlement.

Our Clients can take advantage of:

Ongoing accounting services – keeping books of account and simplified accounting records. Our accounting services include:

  • keeping accounting books in accordance with the Accounting Act of 29 September 1994 and with the company accounting principles or, alternatively, the revenue and expense ledger and other simplified tax records.
  • verification – according to the criteria of the Accounting Act – of accounting documents provided by the Client.
  • keeping records of purchases and sales for VAT purposes.
  • calculation of the amount of VAT and income tax advance and preparation of relevant tax returns.
  • calculation of the amount of withholding tax and preparation of relevant interim and annual tax returns (i.e. CIT-10Z, IFT-2, IFT-2R).
  • preparation and accounting for payrolls on the basis of source documentation provided by the Client.
  • preparation of reports for the Central Statistical Office (GUS)
  • drawing up reports for the NBP.
  • preparing corrections of tax returns for periods before the commencement of cooperation.
  • preparing interim financial statements and preparing statements for banks and financial institutions, or other statements required by the Client.
  • preparing annual financial statements in accordance with the Accounting Act of 29 September, 1994 and company accounting principles.
  • obtaining social security and tax certificates (from ZUS / US) and certificates from other state and local government administrations (certificate of no tax arrears, active VAT taxpayer certificate, etc.), preparing powers of attorney.
  • entering bank transfer instructions into banking systems to execute payments to Clients’ contractors, public authorities, etc.
  • generating bank account statements from banking systems.
  • issuing sales invoices.

Accounting advice. Our accounting advice services include:

  • analysis of books of accounts.
  • assistance in tracking changes in accounting principles that affect the Client’s reporting.
  • support in the year-end processes.
  • analysis of the accounting policy’s compliance with accounting standards.
  • drawing up and updating accounting policies, charts of accounts, accounting instructions, financial and stocktaking instructions, and
  • optimization and improvement of accounting departments’ performance.

Remote access to data

This service enables Clients who cooperate with us to view financial data remotely. At various levels of aggregation, in accordance with the authorization granted by our administrator, they have access either to single accounts or to the complete financial statements and sets of reports prepared in accordance with the Client’s expectations.

Outsourcing of HR and payroll

ATF Partners provides HR and payroll services from the very beginning of the company’s operation. We have more than 18 years of experience on the Polish market, a team of 10 specialists in Warsaw and Przeźmierowo near Poznań, as well as a few thousand of our Clients’ employees for whom we perform administration and settlement.

As in the case of accounting services, we offer HR and payroll outsourcing in various forms. We provide services both in our offices and at our Clients’ premises. Being an alternative to the internal HR departments, we are able to replace the HR and payroll functions of the Client. We calculate wages, settle social security premiums and taxes and take of employment-related matters. All this is done while maintaining complete confidentiality of data and secure handling of sensitive information.

Ongoing HR and payroll services. Our HR and payroll services include:

  • periodic calculation of wages, preparation of payrolls on the basis of source documentation provided by the Client and providing the Client with ready-made payroll settlements.
  • introducing transfer orders into the banking system in connection with the handling of payments to employees, offices, social security, etc.
  • preparing social security returns for ZUS (i.e. registration and deregistration with the Social Insurance Fund, monthly DRA, RCX, RSA, RZA forms and annual employer returns – ZUS IWA).
  • handling employment of staff, changes in employment terms and termination of the employment relationship (e.g. preparation of employment certificates).
  • starting and maintaining employees’ personal files, monitoring the validity of medical examinations and occupational health and safety training courses, managing employee’s holiday leaves and other absences, etc.
  • preparing and sending annual personal income tax returns to concerned taxpayers (PIT-11, PIT-40, PIT-8C) and preparing annual information returns (PIT-4R).
  • preparing wage certificates issued on bank and official forms.
  • preparation PFRON declarations: SOD, DEK, INF, etc.
  • calculating the amount of withholding tax and preparing relevant interim and annual tax returns (i.e. PIT-8AR, IFT-1, IFT-1R).
  • participating actively in audits of public administration authorities, and
  • generating statements and reports strictly according to the Client’s needs and instructions.

HR and payroll advice services. Our HR and payroll advice services include:

  • designing and updating payroll systems including and employee benefits.
  • designing motivation and incentive systems and bonus schemes for employees.
  • advising on compliance with the Labour Law, including optimization of the work time system, employee disputes and employee hiring process.
  • auditing correctness of PIT and social security settlements.
  • providing assistance to accounting for employee business travel expenses.

Non-standard HR and payroll services which include:

  • preparing certificates for pension purposes, including RP-7.
  • reviewing and verifying employees’ personal files.
  • preparation corrections to social security returns filed in the period before commencement of cooperation with the Client.

Business advice

Our Clients can take advantage of our business advisory services on taxes, finance and other business management areas, including:

  • comprehensive arrangement of the credit process – assessment of credit capacity and creditworthiness, preparing credit applications, financial plans and forecasts, individual tailoring of the financial institution and product to the specificity of the transaction and of the Client’s activity.
  • consultancy in the development of a long-term policy of financing Client’s operations and investments.
  • advising on cooperation with the treasury service divisions of Polish banks.
  • designing the principles of treasury activity management.
  • providing support in negotiations and the process of concluding and restructuring hedging transactions.
  • implementing the strategy of receivables hedging in cooperation with the largest insurers in Poland and worldwide.

Advising on M&A transactions

By bringing together experts in various fields of knowledge: lawyers, tax advisors, auditors and corporate finance specialists, ATF Partners has responded to the expectations of the market and established a dedicated unit providing support to M&A projects. Our services start with the participation in negotiations, through the due diligence process and end with the transaction closing and post-trade support.

Restructuring

Over 18 years of operation, we have carried out many successful restructuring projects of both large and small companies. Such activities require a high level of business acumen, experience and an appropriate, tailor-made approach, not only to the management staff, but also to all employees. Every change is difficult to implement and requires onboarding of the whole team to succeed. We know how to do it. We can look at the organization from the outside and objectively assess its structure and potential. One of the most important aspects of doing business is compliance with the legal requirements in force. Finance and law are interconnected areas, so all the activities which require legal consultation are discussed with a lawyer.
